Working with the Arts & Culture Services section – City Cultural Events, Programming within Economic Development & Culture, the Coordinator Volunteer Management is responsible for coordinating the volunteer program for City Cultural Events Programming - Arts & Culture Services section and contributing to the support of City produced arts and cultural events and activities within the section as required.

Major Responsibilities:

  • Co-ordinates, leads, evaluates current engagement of volunteers in City Cultural Event programs, events and operations (participates in the planning and coordination of special projects, events and activities) which includes Nuit Blanche Toronto, Doors Open Toronto, Cavalcade of Lights, New Years and special occasion one-time only events.
  • Prepares reports and makes recommendations.
  • Co-ordinates administrative functions to support the volunteer program and stakeholder engagement including recruitment, screening, selection, training, coaching and recognition for the volunteer program for City Cultural Events.
  • Assists in developing a climate of readiness for volunteers. This includes providing input in recruitment strategies for the program.
  • Participates in the review and formulation of policies/procedures regarding program specific requirements.
  • Develops and maintains stakeholder and volunteer databases
  • Implements and supports various volunteer program standards, practices and guidelines.
  • Liaises with volunteers, clients, vendors, project teams, project managers, senior management and the public and acts as the first point of contact for inquiries about volunteering.
  • Consults with City Cultural Events and Economic Development & Culture staff to develop program messaging and promotional material.
  • Works closely with the City Cultural Events management team to assess volunteer needs, develop position descriptions and training materials, and deliver training sessions as required.
  • Develops program website content information.
  • Organizes City Cultural Events volunteer recognition program and events.
  • Provides input into the development of the volunteer program budget.
  • Attends and/or facilitates local outreach events. Provides support to volunteers and relays current policy/program information/updates, including assisting in creating a climate of readiness.
  • Ensures that service delivery meets client’s expectations.
  • Develops partnerships with related organizations and internal/external volunteer agencies and programs.
  • Works closely with other volunteer programs, e.g. Volunteer Award for Arts & Culture in Toronto, Toronto Youth Ambassadors, etc.

Key Qualifications:

Your application must describe your qualifications as they relate to:

  1. Considerable experience in volunteer management for large scale art and cultural events, which includes evaluating potential volunteer applicants, coordinating volunteer activities and working with volunteer and non-governmental organizations.
  2. Extensive experience in developing, planning, monitoring and administering volunteer programs and services including conducting program needs assessments, etc.
  3. Considerable experience in the planning and delivery of special events / projects and other Arts and Culture programs.
  4. Experience establishing new orientation and training programs for volunteers.
  5. Experience using Better Impact Volunteer Management Software and extensive experience with Microsoft Office Suite: Word, Excel, PowerPoint.

 

You must also have:

  • Ability to provide work direction to staff and volunteers.
  • Excellent oral and written communications skills with the ability to prepare and present materials including standards and documentation to all levels of management and staff.
  • Advanced interpersonal skills with the ability to interact with all levels of staff, volunteers, agencies, partners, arts and cultural organizations, curators, co-producers, presenters and artists in all artistic disciplines and cultural content.
  • Broad understanding of health and safety, customer service, delivery of events and dealing with the public.
  • Excellent organizational skills and the ability to work in a fast-paced environment in order to meet deadlines and manage competing priorities.
  • Must have a high degree of initiative and be able to work well with minimal supervision.
  • Must be able to work flexible hours, including evenings, statutory holidays and weekends.
  • Must be able to report to various work locations in a timely and efficient manner.
