Job Summary:

Are you passionate about connecting museums, communities and diverse audiences? As a Museum Site Coordinator with the City of Toronto, you will oversee daily museum operations, staff, programs and events to deliver engaging, inclusive and accessible visitor experiences.

In this role, you will coordinate museum programs, special events, rentals and community initiatives such as the Indigenous Arts Festival, working closely with event organizers, indigenous communities, artists, vendors and City stakeholders. You will support the planning and delivery of festivals, cultural celebrations and other events, ensuring they align with museum's mandate, operational requirements and heritage setting.

You will also manage site logistics, identify and resolve operational challenges, build and maintain strong community partnerships, and support third-party events from planning through execution. Through operational leadership, collaboration with communities and diverse stakeholders, and a commitment to inclusion, you will help create welcoming spaces that reflect, histories, experiences and diverse perspectives while ensuring that the museum remains a vibrant and accessible destination for learning, culture and community engagement.

Major Responsibilities:

  • Implements detailed plans and recommends policies/procedures regarding program specific requirements.
  • Supervises, motivates and trains assigned staff, ensuring effective teamwork, high standards of work quality and organizational performance, continuous learning and encourages innovation in others.
  • Supervises the day to day operation of all assigned staff including the scheduling, assigning and reviewing of work. Authorizes and coordinates vacation and overtime requests. Monitors and evaluates staff performance, approves salary increments, hears grievances and recommends disciplinary action when necessary.
  • Provides input into and administers assigned budget, ensuring that expenditures are controlled and maintained within approved budget limitations.
  • Leads staff in the development of existing and new programs at the museum in response to the requirements of Economic Development and Culture.
  • Maintains relationships with various client groups, including teachers, other group leaders, volunteer organizations, community partners, and outside business partners.
  • Ensures the daily operation of the museums by providing leadership and motivation to staff.
  • Develops and delivers new educational and exhibit programs for a variety of client groups in response to changing environmental and demographic factors.
  • Plans, develops, administers, evaluates and coordinates the department's existing interpretive services and other public services.
  • Assists the Division in the planning of grant application and budget reports.
  • Improves operational performance through evaluating, expenditures and attendance figures, and adjusts operations accordingly.
  • Ensures a continuing and consistent public service through the evaluation of client needs and coordination of on-site response.
  • Ensures compliance with safety and security matters under Occupational Health and Safety legislation and divisional safety and security policies, including work place accommodations.
  • Communicates with a variety of client groups and liaises with stakeholders and contributes to the development and implementation of marketing activities for The Museum and for special projects as assigned.
  • Develops and implements strategies to involve under represented and under-served communities in the museums.
  • Researches and prepares fundraising and sponsorship opportunities for major cultural events and initiatives.
  • Ensures the mission and mandate of the museum are met, and develops a long term plan for the facility in accordance with the Division's strategic plan.
  • Prepares materials for marketing the York Museum, and other special projects including Doors Open Toronto, and Doors Open Ontario.
  • Identifies, nurtures and administers community partnerships to ensure that cultural diversity of the city is reflected in the programs of the museum and in composition of Doors Open Toronto roster of participating sites.
  • Represents the Division in public events as required.
  • Ensures work is undertaken in a manner that complies with and supports City compliance with the Ontario Occupational Health and Safety Act (OHSA), other relevant codes and regulations and City policies. Key Qualifications:

  1. Considerable experience establishing and maintaining effective partnerships with stakeholders including other special events sections, staff, community groups, agencies and businesses.
  2. Experience motivating, leading, training, managing and supervising the museum site operations of assigned staff in a unionized environment, including monitoring and evaluating staff performance, and recommending disciplinary action when necessary.
  3. Experience coordinating museum, heritage, cultural or public events, including supporting marketing, sponsorship, programming, production, implementation and evaluation.
  4. Experience administering bookings, permits, site rentals, or facility use agreements for heritage, cultural or public facilities.
  5. Experience coordinating cultural events, public programs, site operations, safety and security requirements, and related logistical activities.
  6. Experience in developing revenue generation, sponsorship and partnership strategies to meet established targets and operational objectives.
  7. Experience in budget monitoring and co-ordination.
  8. Experience developing, implementing, delivering and evaluating museum, heritage, educational or interpretive programs, including community engagement initiatives and culturally responsive programming for diverse, underserved and equity-deserving audiences.
  9. Post-secondary education pertinent to the job function (e.g. Heritage Management, Cultural Management, Event Management/Planning, Festival and Event Management, Museum Studies or other relevant field), or an equivalent combination of education and lived experience.
  10. Proficiency using Microsoft Office programs (Word, Excel, Access, PowerPoint), Jira, RPGS, Ariba, S4Hana or equivalent.
  11. Ability to take initiative and work independently, taking ownership of a project as well as being a strong team player in fulfilling the section's and the division's goals.
  12. Knowledge of the Occupational Health and Safety Act and Regulations, Collective Agreements, related employment legislation, Ontario Human Rights and commitment to Truth and Reconciliation is essential, and lived experience as a member of a Black, Indigenous or other People of Colour community would be an asset.
