Job Summary:
The Project Coordinator is responsible for the planning, coordination, and execution of divisional and corporate projects, strategic initiatives, and operational improvements.
This role combines strategic project management with stakeholder coordination, ensuring alignment with divisional goals, corporate policies, and service objectives. The incumbent will work collaboratively across divisions, manage multiple projects (including but not limited to event coordination), and support engagement strategies to enhance corporate and community impact.
Major Responsibilities:
- Plan, design, and coordinate divisional and corporate projects, including strategic initiatives, service improvements, and public engagement programs.
- Implement detailed project plans and recommend policies and procedures regarding program-specific requirements.
- Develop project-related outreach and engagement plans to maximize internal and external stakeholder participation.
- Coordinate logistical requirements for various projects, including staffing, budgeting, vendor relations, and procurement processes.
- Supervise, motivate, and train project support teams to ensure effective teamwork and high-quality performance.
- Administer and monitor project budgets to ensure expenditures align with approved financial limits.
- Research and analyze industry trends, policy developments, and operational needs to optimize project planning strategies.
- Establish and maintain partnerships with internal and external stakeholders, including corporate divisions, government entities, community groups, and vendors.
- Coordinate and implement corporate initiatives, such as service transformation projects, policy updates, and performance monitoring.
- Ensure compliance with relevant legislation, including Occupational Health and Safety, AODA, and corporate policies.
- Develop reports, key performance indicators, and post-project evaluations to assess effectiveness and areas for improvement.
- Represent the division at corporate meetings, committees, and planning teams.
- Assist in rolling out business process improvements and organizational change management initiatives.
- Lead cross-functional teams for unique projects and campaigns, including recruitment, training, and budget oversight.
- Coordinate the implementation of corporate software applications relevant to project management and operational planning.
- Organize corporate staff initiatives, such as training sessions, service improvement workshops, and knowledge-sharing programs.
- Develop and coordinate records management and reporting for divisional initiatives.
Key Qualifications:
- Post-secondary education in project management, business administration, policy development, public administration, event management, or a related field, or an equivalent combination of education and experience.
- Experience in project coordination, including managing multiple initiatives, timelines, and deliverables.
- Experience in event planning, coordination, and stakeholder engagement.
- Experience supervising staff at events, including delegation and decision-making responsibilities.
- Excellent oral and written communication skills for engagement, reporting, and stakeholder collaboration.
- Proven ability to establish and maintain effective partnerships with internal staff, external stakeholders, and the public.
- Strong analytical, problem-solving, and conflict-resolution skills.
- Ability to work in high-pressure environments with multiple priorities and tight deadlines.
- Familiarity with Occupational Health and Safety legislation, AODA requirements, and relevant collective agreements.
- Knowledge of animal welfare and pet care, and the ability to work comfortably in an animal shelter environment and around animals.
- Ability to work extended hours, including evenings and weekends to support time-sensitive projects and events.
- Ability to travel to various locations across the city to coordinate and support events and initiatives.
