Job Description:
To provide coordination and strategic support on a range of projects, initiatives and issues for the Business Process Solutions unit, and to support the strategic goals and objectives of the Corporate Real Estate Management, Division.
Major Responsibilities:
Reporting to the Project Manager, the Project Coordinator will provide day-to-day coordination, tracking, reporting, and administrative support across assigned projects and workstreams. Responsibilities include:
- Maintain project plans, schedules, status trackers, action logs, risk logs, issue logs, and decision registers.
- Organize, schedule, and administer project meetings, workshops, and working sessions.
- Prepare meeting agendas, capture meeting minutes, and follow up on action items to ensure timely completion.
- Track deliverables, dependencies, deadlines, and outstanding items across multiple stakeholders and workstreams.
- Monitor project progress and provide regular updates, summaries, and reporting to the Project Manager.
- Escalate risks, issues, delays, and blockers to the Project Manager as required.
- Coordinate with business and technical stakeholders to gather updates, confirm ownership, and support follow-through on deliverables.
- Prepare status reports, presentations, briefing materials, and other project communications for review by the Project Manager.
- Maintain organized project documentation and ensure records, files, and reporting materials are current and accessible.
- Support project governance and reporting processes by maintaining templates, documentation, and project controls.
- Assist with implementation planning, task coordination, and readiness activities for project milestones and rollouts.
- Follow up with team members and stakeholders on behalf of the Project Manager to support execution of project priorities.
- Support communication across project teams to ensure alignment on timelines, priorities, and next steps.
- Provide administrative and coordination support to the Project Manager to successfully complete assigned tasks.
- Contribute to effective teamwork, communication, and high standards of work quality across assigned projects
Key Qualifications:
- Post-secondary education in business administration, project management, information technology, or a related field, or an equivalent combination of education and experience.
- Experience in a Project Coordinator, project support, or similar role.
- Experience coordinating technology projects, software implementation projects, or related cross-functional initiatives.
- Experience supporting project planning, scheduling, tracking, reporting, and documentation.
- Strong organizational skills with the ability to coordinate multiple activities, manage competing priorities, and meet deadlines.
- Demonstrated attention to detail and ability to maintain accurate records, logs, and project documentation.
- Strong verbal and written communication skills, including the ability to prepare meeting minutes, reports, and build visually appealing presentations.
- Strong interpersonal skills with the ability to work effectively with business and technical stakeholders.
- Ability to follow direction, work independently, and provide effective support to a Project Manager.
- Ability to identify, track, and escalate risks, issues, delays, and action items as required.
- Proficiency in Microsoft Office and common collaboration and project tracking tools.
