Position Overview: Reporting to the Senior Project Manager, Asset Management, Traffic Systems Construction and Maintenance (TSC&M), the IBM Maximo Project Lead, Asset Management provides specialized functional, technical and integration support for IBM Maximo Asset Management, Spatial Asset Management and, at times, Enterprise Work Management System (EWMS). The successful candidate will be an IBM Maximo lead and subject matter expert, in a user capacity, and will also lead data analysis work related to IBM Maximo.
Major Responsibilities:
In this role, the primary functions associated with this position includes, but is not limited to the following:
- Develops, implements, monitors, and evaluates detailed plans and recommends policies, programs, and/or procedures regarding specific requirements related to Transportation Services.
- Conducts research into assigned area ensuring that such research takes into account developments within thefield, corporate policies and practices, legislation and initiatives by other levels of government.
- Oversees assigned projects and provides contract management to ensure effective teamwork and communication and high standards of work quality to advance the Division's initiatives in a complex municipal environment.
- Prepares project plans, reports and status updates for senior staff. Regularly updates documentation on Divisional initiatives.
- Establishes, maintains and develops linkages to other divisions, agencies, boards and commissions to ensure effective partnerships.
- Researches and reports on a range of new projects and initiatives.
- Participates in the process of planning and developing long range objectives for the
- Keeps up-to-date on relevant research and coordinates with relevant divisional staff on project-related data and analysis.
- Prepares responses, reports and correspondence on behalf of the Manager.
- Develops training course materials, conducts training and provides presentations as required for various levels of internal and external management/stakeholders.
Asset Management
- Create/add assets in IBM Maximo including asset category, classification, assembly/sub-assembly, hierarchies, attributes, location, etc.
- Update and modify assets and asset data in Maximo.
- Generate technical, financial and asset life cycle reports in Maximo.
- Manage geospatial data in Maximo and interfacing with ArcGIS.
- Provide input on the development, review and analysis of asset condition assessments.
- Collect data from various sources and platforms for analysis and input into Maximo.
- Support interfacing efforts with other platforms
- Support project teams in migration from legacy asset management systems to Maximo.
- Support project teams in migration from legacy work management systems to Maximo EWMS.
- Lead Asset Management projects including Maximo transformational projects.
- Maintain optimization of Maximo and ensure integration with other systems like SAP and Esri GIS.
- Develop and maintain asset hierarchy and data models to support asset lifecycle management.
Data Analysis
- Lead tasks related to modeling, analysis, and interpretation of datasets.

- Analyze, configure and input, into Maximo, asset datasets collected in the field.
- Analyze existing asset datasets and relationships.
- Develops processes for ingesting, transforming, and analyzing large datasets.
- Review datasets and ensure quality, accuracy, maturity, etc.
- Recommend standards and best practices for data collection and management.
- Support the analysis of data in existing legacy asset management platforms and databases and efforts for migrating to Maximo.
- Recommend strategies and technical guidance on data collection, integration, administration, use, modelling, migration, etc.
- Lead data accuracy validation before and after migration, confirming the transfer of data is successful; work with stakeholders to verify data relevance and accuracy based on asset management requirements.
- Address data discrepancies and inconsistencies by working closely with data owners and stakeholders.
Technical and Project Management Knowledge
- Conducts technical problem investigations, participates in conducting studies and commenting on technical reports (including asset condition assessments, feasibility studies, etc.), and provides detailed recommendations and advice that is in alignment with industry best practices, industry guidelines, and applicable regulations.
- Provides technical advice and expertise to support departmental staff.
- Conducts research into assigned area, ensuring that such research takes into account developments within the field, corporate policies and practices, legislation and initiatives by other levels of government.
- Leads, facilitates, or participates in internal technical working groups and stakeholder engagement including other City divisions, agencies, community and interest groups, industry members, higher educational institutions, and other levels of government to ensure appropriate involvement and feedback at all stages of projects.
- Identifies, evaluates and provides technical expertise and recommendations for the resolution of issues and risks, in compliance with City policies, guidelines and by-laws.
- Analyzes the continuous improvement and control measures for quality, efficiency and effectiveness of services and formulates recommendations.
- Reviews and analyzes new technologies for utilization in existing or future service requirements.
- Assesses, analyzes, evaluates and recommends process & policy alternatives.
- Provides input to Data Management teams on transformation of business requirements as represented by logical data models into physical data models.
- Prepares implementation & rollout strategies and plans.
- Assists staff in understanding of technical and business processes and logic.
- Responds to requests for information, data, documentation, queries, etc.
- Keeps up to date with technological and business changes related to the job function and responsibilities.
- Prioritization, multi-tasking and time management to deliver on all responsibilities and complete all assigned tasks in a timely manner and meet deadlines.
- Other duties as needed operationally and/or as assigned by direct supervisor or divisional/department management.
Key Qualifications
- Post-secondary education in Computer Science, Information Technology, Data Science or other professional discipline pertinent to the job function or an equivalent combination of education and experience. Certification in IBM Maximo is considered an asset.
- Considerable experience and technical proficiency in IBM Maximo, in a user capacity, in Asset Management and/or Spatial Asset Management.
- Experience in Data Analysis. Proficiency with data management tools and technologies, including analytics and visualization tools (SQL, Python, Power BI, Tableau, etc.) is considered an asset.
- Experience in Esri ArcGIS or other GIS software applications.
- Experience in other Asset Management software such as Cartegraph is considered an asset.
- Experience in developing and maintaining asset hierarchy, relationships and data models to support asset life cycle management.
- Strong analytical skills with the ability to assess complex datasets and develop solutions, troubleshooting and resolving issues related to IBM Maximo Enterprise Asset Management Systems and Asset Management.
- Experience in data management principles and practices, including data governance, data quality assurance, data integration, etc.
- Knowledge of research, complex process mapping and developing and presenting financial and technical reports.
- Ability to deliver on demanding assignments requiring critical judgement, analytical thinking, and creative problem-solving.
- Highly developed interpersonal skills, with the ability as part of a team, and communicate both orally and in writing at all levels of the organization, as well as the ability to convey technical information effectively to non-technical stakeholders.
