The City of Toronto’s Parks and Recreation Division is seeking a temporary Standards Coordinator who will support various large-scale projects in the Digital Strategy and Transformation Unit in the P&R Business and Technology Transformation Branch.
The successful candidate will focus on providing project oversight to the many initiatives underway, tracking and facilitating their progress to completion. Reporting to the Project Director I&T P&R, and as a member of the project management team, they will provide project coordination to intra and interdepartmental teams and act as a liaison.
Major Responsibilities:
The primary functions associated with this position includes, but are not limited to:
- Develop detailed plans and recommendations to address program-specific requirements.
- Manage assigned projects, and/or project activities ensuring effective teamwork and communication, delivering work showing high standards of quality and organizational performance and continuous learning.
- Coordinate and facilitate the preparation of project information and artefacts related but not limited to the I&T project Gating process.
- Ensure project expenditures are monitored and maintained within approved budget limitations.
- Arrange, schedule and coordinate meetings, workshops and other project events; booking of venue, sending invites, preparing and printing artefacts.
- Maintain and update the project logs (Action, Issues, Risks, and Changes) from the various meetings/interactions and prepare weekly/daily snapshots of due actions.
- Coordinate and facilitate the project management and governance, managing stakeholder expectations and maintaining positive relationships within project team.
- Demonstrate consistent responses to existing and emerging project related issues.
- Attend the weekly project leadership meetings, Steering Committee meetings, take minutes of meetings, and distribute them to all participants.
- Coordinate and communicate with RFP evaluators, address issues arising from procurement process, and ensure integrity and quality of the process and information.
- Request IT products (e.g. laptop) and services required for new team remembers.
- Deliver regular financial reporting for project expenses, on ad-hoc and quarterly basis, working with Financial reps to align and update Project budget to current status; ensure Budget submissions to Council is correct and aligned with Project needs for next year's outlook, and plan budget itemization for project workstreams.
- Coordinate and facilitate recruitment and complement planning with the project team for all work stream, align with P&R HR on the approach and timelines, explore various complement and recruitment strategies to keep project on track, and onboard new resources – access, location, project background orientation.
- Promote culture of collaboration with other departments & stakeholders to ensure effective delivery of the project.
- Proactively suggest innovative project solutions to challenges involving multiple stakeholders, to achieve the project objectives.
- Continuously monitor and recommend appropriate changes in response to an ever-changing public and political environment.
- Lead project activities as required.
Key Qualifications:
- Post-secondary education in a discipline pertinent to the job function or equivalent combination of education and experience.
- Considerable project management or project coordination experience in business or technical field.
- Considerable experience developing and implementing detailed project plans.
- Considerable experience managing multiple projects and project teams; delivering high quality results.
- Considerable Experience in preparing comprehensive reports and developing presentation materials utilizing a variety of software including; Microsoft Visio, Microsoft Project, Excel, Word & PowerPoint.
- Ability to operate as a fully accountable project team member with no or minimum supervision.
- Highly developed interpersonal skills with demonstrated ability to interact and communicate effectively with all levels of the organization.
- Excellent written and oral communication skills, presentation and interpersonal skills to deal effectively with city staff, city councillors, senior management and the public.
- PMP, CBAP and/or Scrum Certification would be an asset.
