Major Responsibilities:

  • Performs varied administrative tasks, including the preparation, research, summary and reconciliation of data and the control and expedition of documents and data.
  • Responds to email and telephone inquires from internal and external stakeholders to receive and process diseases of public health significance notifications.
  • Carries out data entry functions with speed and accuracy while employing verification techniques.
  • Operates office and computer equipment, including a variety of software packages, applying speed and skill. Prepares presentation material. Utilizes detailed layout and formatting.
  • Administers, prepares, processes, and composes documents, statistical summaries and reports as requested.
  • Checks work for accuracy and conformity with regulations, policy and procedures and corrects/resolves outstanding/incorrect items. Identifies issues and recommends solutions. Performs complex calculations.
  • Assists management in the coordination of program support activities including special projects, staff training and service delivery.
  • Coordinates and maintains complex record/retrieval systems. 
  • Coordinates the set-up, maintenance, and management of large volumes of information in both manual and electronic systems.
  • Attends staff meetings as an active participant, taking and distributing meeting minutes.

 

 

Key Qualifications:

Your application must describe your qualifications as they relate to:

  1. Considerable office administration experience, providing administrative support to a team, program, and management.
  2. Considerable experience drafting, preparing, and formatting complex reports, letters, memos and recording and transcribing minutes.
  3. Considerable experience in providing customer service, handling inquires from the public, clients and/or health professionals, and referring as appropriate.
  4. Considerable experience using Microsoft software programs (i.e., Microsoft Word, Excel, PowerPoint, and Outlook).
  5. Considerable experience maintaining, retrieving, and disseminating confidential information using complex database systems and the ability to carry out high-volume data entry functions with speed and accuracy, while employing verification techniques.

 

You must also have:

  • Experience with iPHIS is an asset.
  • Experience with accurately reviewing and interpreting laboratory test results for Diseases of Public Health Significance for data entry purposes.
  • Excellent organizational skills with the ability to work effectively according to timelines and proven ability to set priorities.
  • Ability to deal with confidential information, handling of confidential health records and client personal health information.
  • Excellent interpersonal skills and the proven ability to work effectively and independently as well as a member of a team.
  • Ability to communicable effectively both verbally, and in writing with all levels of staff and the public in a clear and concise manner.
  • Ability to set-up and maintain electronic filing systems.
  • Proven ability to handle and resolve difficult situations in a professional manner, using knowledge of legislation, regulations, by-laws; policies and procedures and referring as appropriate.
  • Knowledge of Public Health programs and services.
  • Ability to support the Toronto Public Service values to ensure a culture that champion equity, diversity and respectful workplaces.
