Major Responsibilities:

As a Support Assistant C you will be providing administrative support by preparing reports, presenting data and responding to inquiries. You may also conduct process payments and assisting with other SAP functions
 

  • Provides administrative support to the Management team, as well as front line staff.
  • Monitors, orders, picks up and maintains supplies/resource materials for unit.
  • Prepares, researches, maintains, and processes documents. Selects and presents data from manual or computerized fields (e.g. MS Excel spreadsheet) for various summaries and reports.
  • Perform varied administrative tasks involving the preparation, research, summary and reconciliation of data and the control and expedition of documents, data, revenues, and invoices/cash.
  • Operate office equipment and computers utilizing a variety of software packages, applying speed and skill. Utilize detailed layout, formatting and keyboarding skills using a computer
  • Drafts correspondence, prepares presentation materials, and completes forms. Inputs, updates and maintains data
  • Maintains filing and retrieval systems for records/documents.
  • Coordinate and arrange meetings, events and schedules. Prepare draft agendas and attend meetings, take/transcribe/distribute meeting minutes.
  • Respond to e-mails, telephone and in-person inquiries from senior staff, the public, agencies, and other levels of government utilizing in-depth knowledge of procedures, regulations and other related criteria.

Key Qualifications:

Your application must describe your qualifications as they relate to:

  1. Considerable experience working in an administrative support function in a customer service environment dealing directly with service providers, the public and staff in person, over the phone, or by mail inquiries.
  2. Considerable experience and proficiency in computerized software programs, specifically Microsoft Word, Excel and PowerPoint


You must also have:

  • Experience and proficiency in purchasing and payment processes using computerized applications (such as SAP) within a corporate environment.
  • Ability to set up and maintain manual and computerized filing systems.
  • Ability to work independently and complete tasks with minimal supervision.
  • Ability to handle detailed work with accuracy.
  • Mathematical ability to compile statistical summaries and to balance accounting documents.
  • Knowledge of standard office practices and procedures, such as the City’s procurement processes.
  • Good interpersonal skills with the ability to communicate effectively, both orally and in writing and develop solid internal and external work relationships.
  • Excellent inter-personal skills and ability to work co-operatively within a team setting with shared work tasks
  • Proven ability to handle confidential and sensitive information with discretion and tact.
  • Problem solving and decision-making skills, with the demonstrated ability to handle and resolve situations, utilizing knowledge of policies, practices, and procedures.
  • Knowledge of current issues and trends in homelessness, housing and mental health an asset.
