As a member of the Business Support and Workforce Planning Unit within Social Development, Finance & Administration (SDFA) division, you will assist with the administration and coordination of divisional workforce planning initiatives, particularly related to Recruitment, Training, Labour Relations, Health & Safety and Employee Engagement.

 

Major Responsibilities:

 

  • Acts as a divisional liaison for the confidential Police Reference Check Program for all employee, student and volunteer programs.
  • Supports the division's occupational health & safety programs, completes special projects and routine work assignments to maintain a culture of safety.
  • Supports the division's labour relations activities, establishes schedules for grievances at Step 2, prepares and closes files; drafts summaries and routine responses.
  • Provides administrative support and coordination in Human Resources related activities such as recruitment file maintenance and archiving, complement management maintenance, part-time hiring, transfers divisional Expressions of Interest, staffing requisitions, routine responses, organizational change requests, alternate rate forms and other human resource & payroll related forms and letters, etc.
  • Corresponds with labour relations, Divisional management and the union in matters related to step 2 grievances.
  • Compiles, maintains, tracks and trends statistical data for use in forecasting; participates in analysis.
  • Prepares visual presentations, briefing materials and other documentation.
  • Supports policy and procedure development.
  • Coordinates the division's activities pertaining to conferences, memberships, tuition reimbursements and subscriptions.
  • Support divisional educational activities such as student placements, attendance management and program logistics.
  • Supports the division's inventory of computer equipment, including the procurement of new equipment and technology needs.
  • Composes detailed correspondence in matters relevant to the scope of responsibilities.
  • Assists in preparing and maintaining divisional web and intranet content.
  • Supports staff with training needs and with the collection of training information for the Division.
  • Represents the division in communications with external stakeholders, in matters relevant to the scope of responsibilities.
  • Participates and completes assigned project work independently within tight timeframes.
  • Responds to detailed inquiries from divisional staff and the public in a diplomatic and efficient manner.
  • Maintains strict confidentiality of information and records.
  • Facilitates divisional staff appreciation activities.
  • Prepares & submits the bi-monthly divisional Executive Office timesheets for payroll processing.
  • Supports divisional projects work.
  • Provides onboarding activities/orientation to new staff as appropriate.

 

Key Qualifications:

 

  1. Graduate from a relevant university or college program such as Human Resources, Business Administration, or the equivalent combination of education and experience.
  2. Administrative experience supporting senior level employees.
  3. Considerable experience with a variety of software packages including but not limited to (i.e. SAP, Microsoft Office, SuccessFactors, ELI, and/or Adobe).
  4. Experience in the preparing and drafting standard correspondence and reports and handling confidential information.
  5. Experience supporting any one of the following functional areas: Recruitment, Training, Labour Relations, Health & Safety and Employee Engagement.
  6. Excellent written and verbal communication skills with the ability to prepare detailed documentation requiring application of collective agreements, regulations, guidelines, corporate policies, and procedures.
  7. Ability to identify and analyze problems and inefficiencies and suggest corrective actions and solutions.
  8. Ability to effectively establish timelines and handle a varied workload, with impeccable organizational skills.
  9. Ability to work independently in a dynamic, complex environment, as well as part of a team.
